Privacy notice
Draft: not yet reviewed. Do not rely on this page until it has been approved.
This notice explains how SponsorTee uses your personal data. It applies to the SponsorTee website at sponsortee.io.
Who we are
[TRADING NAME], [REGISTERED ADDRESS] is the controller of the personal data described here. You can contact us at [CONTACT EMAIL]. [ICO REGISTRATION NUMBER IF REQUIRED]
What we collect, and why
- Start a challenge form: your name, email address, challenge details and any message you send.
- Claiming a spot: business name, your name, email address, website (optional), logo file, and your confirmation of the donation and terms.
- Rider dashboard: challenge details, sponsors' contact details and which donations have been confirmed.
- Supporter tee orders (if switched on): name, email address, delivery address, size and quantity.
- Hosting logs held by Cloudflare: IP address, time and the page requested.
Our legal basis
- Contract: to run a spot claim, keep it on the shirt and print the shirt.
- Legitimate interests: to contact a business about its spot and to answer enquiries about a challenge. We have weighed these interests against your rights, and the balance is recorded in our internal notes.
- Consent: only if we add optional marketing later. We will ask first.
Who we share it with
- Cloudflare: hosting, the database and file storage.
- Printful: printing and delivery, only when an order is placed.
- Stripe: payments, only if card payments are switched on.
- Resend: sends the operator an email for each "Start a challenge" enquiry, so it can reply.
Donations go directly to charities and their fundraising pages, such as JustGiving. SponsorTee does not control how those services use your data.
Where your data is processed
[PROVIDER LOCATIONS AND SAFEGUARDS TO BE CONFIRMED BEFORE APPROVAL: for example, where Cloudflare, Printful and Stripe store and process data, and the transfer mechanism used.]
How long we keep it
- Logos for released spots are deleted as soon as the spot is released.
- Logos for unconfirmed spots are kept for 30 days after the sponsor list is locked, in case a late donation arrives. They are then deleted.
- Spots not confirmed 14 days after a claim can be released by the rider if no donation has come through.
- Logos, sponsor details and print files are deleted 12 months after the ride date. A challenge with no ride date is treated as starting from when its page was created.
- Enquiries from the Start a challenge form are deleted 12 months after they arrive.
- Orders are kept for [RETENTION PERIOD] for accounting and delivery records.
Your rights
You can ask us for access to your data, to correct it, to erase it, to restrict or object to its use, or to receive a copy of it. You can also complain to the Information Commissioner's Office at ico.org.uk.
